The Converter

Turn a timesheet into eVoucher files.

Does PanelTime work with typed or electronic records?

Yes. It reads handwritten and typed timesheets. If you keep your time in Word, Excel, Google Docs or Google Sheets, export it as a PDF and upload that, the same way you would a scan or a photo.

What files can I upload?

PDF, JPG and PNG, up to 20 MB. Multi-page PDFs are fine: every page is read, top to bottom. You can also take a photo of a paper timesheet with your phone.

How do I turn a Word, Excel or Google file into a PDF?
  • Word or Excel: File → Save As → PDF
  • Google Docs or Sheets: File → Download → PDF Document
  • Apple Pages or Numbers: File → Export To → PDF
What does my timesheet need to have?

Every entry needs a date, a description and hours. Expenses need a date, a description and an amount. You do not have to sort anything into CJA service categories: PanelTime does that for you.

Full requirements with examples: Timesheet requirements.
Can I use entries saved in Outlook?

Yes, with one extra step. Outlook entries have a subject and a date but no hours, and PanelTime needs hours for every entry. Export the folder to Excel (File → Open & Export → Import/Export → Export to a file → Microsoft Excel), add an Hours column, save as PDF and upload it.

Which voucher types does it support?

Attorney vouchers (CJA-20 and CJA-30) and service provider vouchers (CJA-21). Pick your type before you convert. CJA-20 and CJA-30 give the same output.

How do I get my entries into eVoucher?

You download two files, one for Services and one for Expenses.

  • Attorneys, services: in eVoucher use Actions → Import Service Entries (.csv) in the left panel.
  • Attorneys, expenses: use the free PanelTime Chrome extension.
  • Service providers: use the Chrome extension for both services and expenses.

Install the Chrome extension

Is the Chrome extension free?

It is free with a Converter or Handlebill plan. Without a plan you get a few free uses to try it. It fills in eVoucher for you: no copy-paste and no retyping.

How many free conversions do I get?

Your first 3 conversions are free, with no card. After that, Converter or Handlebill gives you unlimited conversions.

What is the verification code?

When you enter your email, PanelTime sends a 6-digit code to confirm it is you. Enter it within 10 minutes and you are signed in: there is no password and no separate sign-up. If you do not see the email, check spam or junk. It comes from noreply@cjaevoucher.com. If the code expires, ask for a new one.

What does [!] mean on an entry?

It means PanelTime was unsure about that entry: the handwriting may have been unclear, the date ambiguous, or the service type hard to classify. It is a warning, not an answer.

Check every flagged entry before you download. Fix it in the results table, or in eVoucher after importing. Never submit a flagged entry to the court without checking it.
What if PanelTime misreads an entry?

Every row in the results table is editable before you download. Click any cell to fix a date, description, hours or service category, and add or delete rows as needed. You can also correct entries in eVoucher after importing.

You are responsible for your voucher. PanelTime reads handwriting as best it can, but it is an automated tool. Review every entry before you submit.

Handlebill™

Cases, hours, calendar and analytics in one place.

What is Handlebill, and how is it different from the Converter?

The Converter turns a timesheet into eVoucher files. Handlebill™ is the whole workflow: your cases and clients, hours logged as you go (typed or by voice), a calendar of hours and court dates, fee cap tracking, analytics and invoices. It includes everything in the Converter, plus the free Chrome extension.

Phone text message (SMS) reminders and extra users are optional add-ons to Handlebill.

Is there a free trial?

Yes. Handlebill is free for 7 days, with no card. It includes 25 free texts to try the reminders. Start it from the pricing section, from your dashboard, or from Billing & plan.

What happens to my data when the free week ends?

Nothing is deleted. If you do not subscribe, your account is paused, and when you subscribe later with the same email everything is right where you left it. The same is true if you cancel a plan.

How does voice entry work?

Open a case, tap the microphone and speak: “Two hours, reviewed discovery and drafted the motion to suppress.” Handlebill turns it into dated entries with the right CJA service categories. You review and edit before saving. It works on any device with a microphone, so you can log time right after a hearing.

Does it use the right CJA rate and cap?

Fees are worked out with the CJA rate that applies on each date, including capital rates for CJA-30 cases, and each case shows how much of its fee cap you have used. You are still responsible for checking the numbers on your voucher.

Can I switch from the Converter to Handlebill?

Yes. Open Billing & plan and choose Handlebill. The difference is prorated, so you are not billed twice.

Phone text message (SMS) reminders

Text messages to the phones of clients and family before court dates.

How do phone text message (SMS) reminders work?

These are text messages sent to the phones of your clients and their family. Add a client or a family member to a case, confirm they agreed to get texts, and PanelTime texts them 7, 3 and 1 day before each court date. Each text names the hearing, the date, time, courthouse, judge and courtroom, and ends with your name and “Reply STOP to opt out.” You can switch one person off, pause a case, or pause everything with one switch. Closed cases stop texting.

You can also add your own appointments, such as a client meeting, and the same reminders go out. That helps clients show up and avoids no-shows.

Do I need Handlebill to use them?

Yes. Phone text message (SMS) reminders are an add-on to Handlebill, because they work from your cases and court dates. Nobody can buy them on their own. Add them when you subscribe to Handlebill, or any time later from Billing & plan. If your Handlebill ends, your text plan ends with it, and any unused time is credited to your account balance.

Can I try a text before I pay?

Yes. The free week includes 25 free texts, and you can send up to 3 test texts to your own phone number from your profile or the SMS page to see exactly what clients will get.

Can I see how many texts I have used?

Yes. The SMS page shows how many texts you have used this month, a bar that fills up, and the date your texts reset. One reminder is one text.

What if I run out of texts?

Reminders pause until your texts reset next month, or until you upgrade. Your dashboard and the SMS page show how many texts you have used this month, and warn you when you are running low. To get more, move up to the next text plan. The new plan starts with its full allowance.

Can I remove “via Handlebill” from the texts?

Yes, with a small monthly add-on. The text then ends with just your name. “Reply STOP to opt out” always stays, because carriers require it.

Who is responsible for consent?

You are. Before a person can be texted you confirm that they agreed to receive texts about their court dates at that number. Every text tells the person they can reply STOP to opt out.

Plans and billing

Prices, yearly savings and changes.

How much does it cost?

See the pricing section for current prices.

Yearly billing gives you 2 months free: you pay for 10 months and get 12. Plans start with a free trial or 3 free conversions, with no card.

Can I cancel any time?

Yes. Cancel from Billing & plan. You keep access until the end of the period you already paid for, and your data stays in place.

How do I change or remove an add-on?

Email paneltimeai@gmail.com and we will make the change, usually the same day. It takes effect at the end of your paid period. Extra users can be added or removed from the Team page.

I already have a PayPal plan. What happens to it?

Nothing changes unless you want it to. Your current plan and price stay as they are, and we will give you at least 30 days’ notice by email before any price change. You can add a text plan alongside it.

Who processes payments?

Payments are handled by Stripe. PanelTime never sees or stores your card number.

Team

Let an assistant or secretary help.

Can my assistant or secretary use my account?

Yes. Add them as an extra user. They get their own login and work in your account, so they can manage your cases. Each extra user is an add-on to Converter or Handlebill.

How do I add someone, and what can they do?

Open Team, enter their email and we send them a link (it works for 7 days). You pick what each person can use: cases, text message reminders, analytics and billing. New people start with cases and text message reminders only. Analytics and billing stay private unless you tick them. You can change this or remove someone at any time.

Referrals

Share PanelTime with a colleague.

How do referrals work?

Share your personal link from the Referrals page. A colleague who subscribes through it gets their first month free (up to $49). After they have been on PanelTime for two months you earn a reward, also capped at $49. You never see who subscribed, only your rewards. The Referrals page shows the exact details for your account.

Your data

What we keep and who sees it.

Is my timesheet stored?

Yes. Uploaded timesheet files are stored securely on our servers for processing and backup. With Handlebill your entries are also in your account, where you can review, edit and export them at any time. We do not share your data with third parties. See our Privacy Policy.

Is PanelTime a lawyer or an accountant?

No. PanelTime is an automated tool. It may miss entries, misread amounts or misclassify service types. Attorneys and service providers are solely responsible for reviewing every entry and confirming the accuracy of their voucher before submitting it to the court. PanelTime is not responsible for missed entries, underbilling or overbilling, underpayment, lost wages or lost income, or any other errors in your submitted voucher.
